Information is used to provide, secure, support, and improve ShopOps and the features a workspace chooses to activate.
Your shop’s information stays tied to your shop.
This notice explains what ShopOps receives, why it is used, which service providers help process it, and how a workspace owner can export or delete it.
Accounts, customers, work orders, financial records, and partner access are authorized against a specific business workspace.
Settings includes a business-record export and a guided closure process. Some legal, accounting, security, or dispute records may need limited retention.
Information ShopOps collects
The information depends on the features your business uses.
- Account and business information: name, email, workspace membership and role, business contact details, logo, services, rates, and settings.
- Customer and shop records: customer contact information, vehicles, VINs, plates, mileage, work orders, quotes, invoices, inspections, warranties, parts, notes, and partner assignments.
- Uploads and extracted information: work orders, receipts, invoices, vehicle photos, inspection media, and text or fields extracted from those files for your review.
- Financial and billing information: expenses, receipts, payment status, purchase orders, subscription status, and identifiers returned by payment or optional bank-connection providers. ShopOps does not store full payment-card details or online-banking passwords.
- Security and usage information: sign-in/session details, device and request information, actions taken, errors, support requests, and audit events needed to secure and operate the service.
How information is used
- Provide the shop-management, work-order, customer-history, warranty, reporting, financial, partner, offline, export, and support features you request.
- Authenticate people, enforce workspace roles, prevent cross-workspace access, investigate suspicious activity, and maintain service reliability.
- Process uploaded documents and images, suggest extracted fields or categories, and let an authorized person verify them before saving.
- Operate subscriptions, communicate service or support information, meet legal obligations, and resolve disputes.
ShopOps does not use one business’s customer records to give another business access to those records.
Optional bank and card connections
An owner must review and affirm a current consent notice before opening Plaid Link. Plaid—not ShopOps—collects the financial-institution credentials. If the owner proceeds, ShopOps can receive read-only account names, limited account details, balances, and transactions so the shop can compare purchases with receipts and expenses. ShopOps cannot use this connection to move money.
No imported transaction automatically becomes a ShopOps expense. An authorized user reviews suggestions before financial totals change. Disconnecting revokes the Plaid Item, deletes raw imported account and transaction data from active ShopOps storage, and scrubs provider identifiers. Independently confirmed business expense records and a limited, non-secret audit receipt may remain.
Retention, closure, and deletion
Active business records remain available while a workspace operates. The owner can close the workspace and request deletion. ShopOps verifies ownership, completes provider and billing cleanup, allows a waiting period, and reviews legal holds before permanent deletion.
Raw Plaid data is retained only while its connection is active. Security and integration audit records are ordinarily retained for up to 24 months. Billing and tax records may be retained for up to seven years where required. Encrypted backups age out under provider schedules and are not restored into ordinary use after a valid deletion request.
Some records may be retained longer for an active investigation, fraud prevention, ownership dispute, chargeback, or legal obligation. Those records are minimized, access-restricted, and removed when the reason ends.
Access, correction, export, and deletion choices
Authorized workspace users can correct ordinary business records inside ShopOps. Owners can download a structured business-record export and use Settings to begin account closure, cancel optional services, request a file-inclusive export, and request permanent deletion.
Requests may also be sent to the address below. ShopOps verifies identity and authority over the workspace before acting. If local law provides additional rights or response periods, those requirements apply.
